Middle Office Specialist with English and French

Position Purpose:

The role is part of the Middle Office team within our Barcelona Shared Service Centre. The team oversees a range of Staff/HR Operations activities for our Temporary Workers business across Europe, combining both customer service and transactional responsibilities to ensure that our temporary workers and freelancers (hereafter: Candidates) receive excellent support throughout their assignment lifecycle.

From the creation of Candidate contracts and onboarding activities, through timesheet and payroll support, to Client invoicing and ongoing stakeholder communication, the Middle Office team acts as a central point of contact for Candidates, Clients and our Sales teams. Through close collaboration with multiple internal and external stakeholders, the team ensures accurate processes, regulatory compliance and a seamless experience across the entire assignment lifecycle.

Key Responsibilities:

Administrative tasks

The Middle Office Administrative tasks cover a wide range of activities, including:

• Gathering, validating and maintaining all information required for accurate contract creation, including Candidate compliance documentation and Client billing details.
• Updating and maintaining Candidate and Client master data within Salesforce, ensuring information remains accurate, complete and aligned with internal policies and processes.
• Reviewing system-generated contracts and supporting documentation to ensure accuracy, completeness and compliance with legal, Client and business requirements.
• Coordinating with our payroll provider to ensure contractual documentation is stored correctly, timesheets are processed efficiently, and payroll-related activities are completed accurately and on time.
• Supporting payroll, billing and compliance processes by investigating discrepancies, resolving exceptions, and ensuring the integrity of data throughout the assignment lifecycle.

Customer-service related tasks

Throughout the Candidate and Client lifecycle, the Middle Office team serves as a key point of contact for multiple stakeholders, including:

• Supporting the onboarding and offboarding of Candidates and Clients by providing guidance on contractual requirements, timesheet processes and payroll systems.
• Responding to Candidate and Client queries via email and telephone, delivering timely, accurate and professional support before, during and after assignments.
• Acting as a trusted point of contact for operational, payroll, invoicing and contract-related enquiries, ensuring issues are resolved efficiently and stakeholders remain informed.
• Proactively communicating with Candidates, Clients and internal teams to provide updates, manage expectations, and facilitate smooth processes throughout the assignment lifecycle.
• Collaborating closely with Recruitment Consultants, Finance, Payroll, Legal and other support functions to coordinate timelines, manage data flows and ensure seamless cooperation between Front, Middle and Back Office teams.

The ideal person for this role is detail-oriented and proactive, with a strong focus on data accuracy, process compliance, and collaboration across teams. They understand the end-to-end contract lifecycle and take pride in contributing to a seamless experience for Candidates, Clients, and internal stakeholders. About you:

• Fluency in English and French. Additional European languages will be considered an asset.
• Excellent attention to detail and accuracy; ensures facts are correct, complete and consistent.

• Excellent organizational skills and the ability to work under pressure and manage deadlines.
• Ability to work independently, take initiative, demonstrate a continuous improvement mindset and show eagerness to learn.
